Can we use お久しぶりです ?
お久しぶりです is the most common way to say “Long time no see.” However, it is mainly used as a spoken language. Unless you are emailing your friends or colleagues, it is safer to avoid this phrase in emails.
Mentioning Who You Are
- トウキョウ株式会社営業部の田中と申します。
My name is Tanaka from Tokyo Inc. Sales Department. - トウキョウ株式会社の田中です。
This is Tanaka from Tokyo Inc. - 先ほどお電話させていただいた田中です。

…と申します vs …です
…と申します is normally used when you are introducing yourself, i.e., writing to someone for the first time. From the second time onwards, it is better to just say …です.
Asking How They Are Doing

It has been cold lately, I hope everything is going well with you. - 段々と暑くなってきましたが、いかがお過ごしでしょうか?

- ミーティングは延期になったとのこと、承知しました。

* 承知しました and かしこまりました are equally formal and interchangeable.
Can we use 了解しました ?
